5. Our Lawful Bases
Depending on the purpose, we process personal information under one or more of the following lawful bases:
Contract
We process information necessary to provide a quotation, accept your booking, repair your device, take payment and provide warranty support.
Legal obligation
We may retain and use information where required for accounting, tax, consumer protection, law-enforcement or other legal obligations.
Legitimate interests
We may use information where reasonably necessary to operate and protect our business, maintain repair records, prevent fraud, manage complaints and defend legal claims.
Where we rely on legitimate interests, we consider whether our interests are proportionate and whether they could unfairly affect your rights.
Consent
We rely on consent for optional activities where required, such as certain marketing communications and non-essential website cookies. You may withdraw consent at any time.
Processing required to provide a repair service is normally based on contract rather than consent. (ICO)
6. Information Stored on Your Device
Your device may contain photographs, messages, documents, accounts and other private information.
Our technicians will not intentionally access personal content that is unrelated to the repair.
Where a PIN, password or passcode is provided, it will be used only where reasonably necessary to:
Diagnose the reported fault;
Check device functionality;
Test the completed repair; and
Confirm that relevant features are working correctly.
During testing, limited personal information may occasionally become visible. Our technicians must not copy, retain, disclose or use that information for any unrelated purpose.
Customers should back up important information and remove highly sensitive data before submitting a device wherever reasonably possible.
7. RepairDesk
We use RepairDesk as our repair-management and point-of-sale platform.
Customer details, device information, repair records, invoices, warranty information, communications and digital signatures may be stored and processed through RepairDesk on behalf of FlashFix.
Under our agreement, RepairDesk is required to protect customer information and must not sell it, use it for unrelated marketing or disclose it to unauthorised parties.
RepairDesk personnel may access information only where reasonably necessary to operate, secure, maintain or support the platform, investigate technical problems or comply with a legal obligation.
FlashFix remains responsible for deciding why customer information is collected and how it is used for our repair services.
8. Who We May Share Information With
We do not sell customer information or provide it to other businesses for their own marketing purposes.
Limited information may be processed or disclosed to:
RepairDesk, as our repair-management provider;
Payment providers where you pay by card or electronically;
Website hosting, email and IT-support providers;
Accountants, insurers or professional advisers;
Couriers or suppliers where necessary to provide an authorised service;
Police, courts, regulators or public authorities where disclosure is legally required; and
A buyer or successor if the ownership of the business changes, subject to appropriate confidentiality and data-protection requirements.
Only the minimum information reasonably necessary for the relevant purpose will be disclosed.
9. Card Payments
Card and electronic payments may be processed by an independent payment provider.
The payment provider may collect card details directly and process them under its own privacy and security obligations. FlashFix normally receives confirmation of the payment, transaction reference, amount and payment status rather than your complete card information.
10. International Data Transfers
Some technology or service providers may store or process information outside the United Kingdom.
Where personal information is transferred internationally, we will take reasonable steps to ensure that appropriate legal safeguards are used, such as UK adequacy regulations or approved contractual protections.
You may contact us for further information about the safeguards relevant to your information.
11. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.
We will generally retain:
Repair, customer, invoice and warranty records for up to six years after the service is completed;
Financial and accounting information for the period required by law;
Complaint and dispute information until the matter is resolved and any relevant legal period has expired;
Marketing preferences until you unsubscribe or ask us to delete them; and
Website security logs only for as long as reasonably necessary for security and troubleshooting.
Device passcodes should not be retained after testing and completion of the repair unless temporarily required to resolve an ongoing repair or warranty matter.
Information may be retained for longer where required by law, an active dispute, fraud investigation or legal claim.
12. Information Security
We take reasonable technical and organisational measures to protect personal information from:
Unauthorised access;
Accidental loss;
Misuse;
Alteration;
Disclosure; and
Destruction.
Access to customer records is restricted to authorised employees and service providers who reasonably require it to perform their duties.
No electronic system can be guaranteed to be completely secure, but we regularly consider the risks associated with the information we process and the safeguards available. UK data-protection law requires appropriate technical and organisational security measures. (ICO)
13. Website Cookies
Our website may use cookies or similar technologies.
Essential cookies
Essential cookies help the website operate correctly and may be required for security, forms, bookings, preferences or other core functions.
Analytics and optional cookies
Where used, analytics or marketing cookies help us understand website usage or measure advertising. Non-essential cookies will only be used where the required consent has been obtained.
You can manage optional cookies through the website cookie banner or your browser settings.
Withdrawing consent will not affect the lawfulness of processing that took place before consent was withdrawn.
14. Marketing Communications
We will not send optional promotional emails or text messages unless we have an appropriate lawful basis.
Where marketing is based on consent, you can withdraw your consent at any time by:
Using the unsubscribe option in the message;
Replying with an opt-out request; or
Contacting queries@flashfix.tech.
You have an absolute right to object to the use of your personal information for direct marketing. (ICO)
15. Automated Decision-Making
FlashFix does not normally make decisions about customers using solely automated processing that produces legal or similarly significant effects.

Ask for a copy of the personal information we hold about you;
Ask us to correct inaccurate or incomplete information;
Ask us to delete your information;
Ask us to restrict how your information is used;
Object to certain uses of your information;
Request transfer of eligible information;
Withdraw consent where processing is based on consent; and
Complain about how your information has been handled.
Some rights are subject to legal conditions and exemptions. For example, we may need to retain certain invoices or transaction records to meet legal obligations.

You may also complain to the Information Commissioner’s Office, the UK regulator for data protection, particularly if you are dissatisfied with our response.
18. Changes to This Privacy Policy
